What Institutions Need To Do

To ensure a seamless transition, the Board has introduced new measures to facilitate the processes:

i. Institutions are required to update their websites to include all accredited departments along with staffing (teaching and non-teaching staff).

ii. Staff recruited for each program should have their passport-size photos uploaded, along with abridged Curriculum Vitae or synopsis indicating their educational qualifications, professional memberships, years of experience, etc.

iii. A database should be created in the library to store all final-year approved student projects in portable document format (PDF), readily available for upload during the quality assurance process.

iv. Existing practical logbooks should be scanned and saved in the database in PDF format for upload.

v. Subsequent logbooks should be in digital format, such as the use of Google Forms etc.

vi. Practicals should be video recorded using mobile devices etc and uploaded to a YouTube channel for review by the NBTE Quality Assurance team and for students to improve their understanding of the practical. (A gmail account should be created for every class for use to create Youtube channel and shared with students).

vii. Practicals that are software related should be screen recorded and uploaded. The Board believes that this approach will not only help in verifying the delivery of the practical component but improve learners understanding of the practical thereby contributing to the production of graduates that are skilled in their chosen field.

viii. Approved admission lists for both ND and HND programs should be available for upload in Excel format, including candidate detailed of O-Level scores and National Diploma (ND) results where applicable.

ix. Soft copies of Architectural Drawings (floor plans) of classrooms, offices, workshops, laboratories etc for each department should be saved in pdf format. This will be uploaded to the eSSQ.

x. Institutions should develop a Learning Management System (LMS) for traditional students. This will complement normal classroom teaching and aid the gradual introduction of technology-enabled teaching and learning, leading to a shift towards student-centered learning. LMS is already mandatory for Distance Learning Students.

xi. Scanned copies of all relevant documents often requested during quality assurance visits should be converted to PDF format. This including student result sheets, soft copies of student projects, list of core teaching staff, service staff, examination  questions papers and marking schemes, lists of books, lists of available equipment, etc.

xii. All equipment in the laboratories and workshops should be engraved with the name of the institutions showing ownership.

xiii. Digital Photographs of Equipment in Laboratories and Workshops, class rooms and offices and all facilities within the institutions should be taken using GPS Cameras available in Play store showing their locations and coordinates for upload on the eSSQ.

xiv. There should be an e-Library that is accessible remotely, containing collections of both free and subscribed books and journals.

xv. An up-to-date master plan showing current infrastructures as well as proposed ones should be available, also in PDF format.

xvi. NBTE shall schedule virtual meetings with staff and students for the purpose of interview.
